At the time of application, applicants must be eligible to work in the United States. At the time of hire, the applicant must have a high school diploma or GED and be a minimum of 18 years of age.

Pre-employment drug testing, FBI criminal background check and education/degree verification required.

This position is subject to working in high-security areas governed by the US Department of Justice’s Criminal Justice Information Services (CJIS) Security Policy and therefore requires successfully passing a more stringent criminal background check. Must be a US citizen or have been a lawful resident of the US for the past ten consecutive years.

This position is considered Safety Sensitive and is subject to random drug and alcohol testing.

Here’s What You Do

Perform a range of clerical and administrative tasks to support our Emergency Communications Department, including managing calendars, scheduling meetings, answering phone calls, managing the visitors coming in and out of the center, handling emails, maintaining files, preparing documents, coordinating travel arrangements, all while adhering to established procedures and standard practices. Perform other work as required.

Responsibilities include but not limited to

  • Calendar Management: Maintaining and updating the executive’s calendar, scheduling appointments, and coordinating meetings.
  • Communication Management: Answering phone calls, responding to emails, and directing inquiries to appropriate personnel.
  • Document Preparation: Drafting letters, reports, presentations, and other documents as needed.
  • File Management: Organizing and maintaining physical and electronic files.
  • Travel Coordination: Arranging travel logistics such as booking flights, hotels, and transportation.
  • Administrative Support: Handling tasks like copying, faxing, and mailing documents, ordering and maintaining supplies, Freedom of Information Act (FOIA) Records processing.
  • Data Entry: Entering information into databases and spreadsheets.
  • Meeting Coordination: Setting up meeting rooms, preparing agendas, and taking minutes.
