Job Overview

We are seeking a detail-oriented and enthusiastic Event Assistant to join our dynamic team. The Event Assistant will support the planning, coordination, and execution of events, ensuring they run smoothly and meet organizational goals. This role is ideal for someone who thrives in fast-paced environments, excels at multitasking, and is passionate about creating memorable experiences.

Key Responsibilities

Event Planning Support:

  • Assist in the development of event plans, timelines, and budgets.
  • Coordinate with vendors, venues, and suppliers to secure necessary resources.
  • Help in creating event schedules and run-of-show documents.


Logistics Coordination:

  • Manage event materials, including signage, promotional items, and equipment.
  • Assist with venue setup, decoration, and breakdown after events.
  • Oversee guest registration and provide on-site support during events.


Communication:

  • Act as a liaison between clients, team members, and external stakeholders.
  • Respond to inquiries and provide information to event participants.
  • Ensure all stakeholders are updated on event details and changes.


Administrative Tasks:

  • Maintain event-related documents, such as contracts, invoices, and attendance records.
  • Conduct post-event evaluations and compile reports on outcomes.
  • Perform other duties as assigned to support the event team.

Skills, Knowledge and Expertise

  • High school diploma or equivalent (required).
  • Excellent organizational and time-management abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and event management software.
  • Ability to work flexible hours, including evenings and weekends, as needed.
