Job Title: Executive Assistant to the CEO

Summary: We are seeking a dynamic and highly organized Executive Assistant to support our CEO in driving our clients’ vision forward. This is an exciting opportunity to be part of a purpose-driven organization at the forefront of edutainment and sustainability.
About the Job
Key Duties:
- Provide high-level administrative support to the CEO, including managing schedules, appointments, and correspondence.
- Act as a gatekeeper, handling incoming inquiries and prioritizing tasks.
- Manage a complex calendar, coordinating meetings with internal teams, external partners, and stakeholders.
- Ensure the CEO is well-prepared for meetings, including briefing materials and agendas.
- Serve as a primary point of contact for the CEO, communicating effectively with team members, sponsors, and partners.
- Draft and proofread correspondence, reports, and presentations on behalf of the CEO.
- Arrange domestic and international travel, including itineraries, accommodations, and expense reports.
- Plan and coordinate company events, partner meetings, and industry conferences.
- Assist with projects, including research and preparation of materials for strategic initiatives.
- Monitor progress on key projects and follow up on action items.
- Maintain and organize files, records, and contact databases.
- Handle confidential and sensitive information with discretion.
- Support onboarding of new partners, supplier forms, contract admin, and invoicing.
- Actively contribute to our mission by promoting sustainability and environmental awareness.
- Stay informed about trends in sustainability and education to support the CEO’s strategic planning.
- Perform personal assistant tasks for the CEO and family as needed.
Skills and Experience
Essential Skills:
- Proven experience as an Executive Assistant, ideally in a creative, nonprofit, or mission-driven environment.
- Exceptional organizational and time-management skills, with the ability to prioritize and multitask effectively.
- Strong written and verbal communication skills.
- Proficiency in MS Office, Google Workspace, and project management tools.
- Passion for sustainability, education, and making a positive impact on the world.
Qualifications:
- Bachelor’s degree in Business, Communications, or a related field (preferred).
- Familiarity with sustainability frameworks or certifications (preferred).
- Experience in the media, entertainment, or education sectors (preferred).
