Key responsibilities for this role include:
- Performs a broad variety of administrative tasks for the executives manages calendar/schedule, document preparation, spreadsheet creation and maintenance, meeting notes/ minutes, departmental expense reports, composes and prepares routine and advanced correspondence often of a highly confidential nature, completes reports, conducts research, arranges complex and detailed travel plans, itineraries, and agendas, and compiles documents for travel-related meetings.
- Coordinates, monitors and may manage projects and work on highly confidential initiatives that impact the success of department initiatives and the organization’s immediate goals.
- Manage BCRA process (SOWs/PO/Approvals/Invoice reconciliation).
- Conveys complex and often sensitive information to team, department leadership, and company leadership and be able to work effectively and cooperatively with various functional leads, teams and stakeholders.
- Serve as a liaison between the Leader and their direct reports, as well as within the Management team.
- Prepares meeting agendas and arrange for meetings including room preparation, electronic equipment, presentation materials, etc.
- Coordinate executive meetings, telephone conference calls, and departmental meetings.
- Handle business travel and hotel reservations.
- Run reports. Create, and update spreadsheets and presentations.
- Perform other administrative duties that include the scheduling of staff appointments for the Executive, proofreading, opening and screening mail, routine typing, filing, photocopying and other essential duties as assigned.
- Maintain reference manuals, including coordinating with vendors and staff to attain and verify up-to-date information.
- Coordinate special projects as assigned.
- Perform other duties as assigned.
The minimum qualifications for this role are:
- Minimum of 2 – 4 years of experience required. 5 -7 years of administrative experience preferred. Associate’s or Bachelor’s degree preferred. However, a combination of experience and/or education will be taken into consideration.
- Requires an understanding of the corporate organizational structure, functional responsibilities, and general operating requirements throughout the organization. Must understand and adhere to government rules and regulations as well as Company and departmental policies and procedures. Well established knowledge of administrative and office procedures and expert Microsoft Office Suite, Outlook experience and other software applications.
- Detail oriented, strong analytical, and advanced organizational skills. Ability to manage multiple projects simultaneously and determine priorities. Ability to handle sensitive and confidential issues with discretion and tact. Well established communication and diplomacy skills. Exercises considerable discretion and independent judgment and demonstrates ability to analyze complex information requests. Wide degree of creativity and latitude is expected. Must have a strong work ethic and consensus gathering skills. Must possess strong computer skills and be proficient within the Microsoft Office Suite.
- Position functions semi-autonomously.
- Ability to read and interpret general business documents. Ability to write routine reports and general business correspondence. Ability to work with peers and communicate basic concepts.
- Ability to add, subtract, multiply, and divide.
- Ability to solve problems with a variety of concrete variables through semi-standardized solutions that require some ingenuity and analysis. Ability to draw inferences and follow prescribed and detailed procedures to solve moderately complex problems.
- May be required to stand; walk; stoop; bend; kneel; and climb steps. May require use of hands and use of arms.
Exact compensation may vary based on skills, experience, and location. The salary range for this position is: $39,000 – $88,000.
