In this role, you will support project operations through administrative coordination, document management, and communication with clients, subcontractors, and suppliers. Key Responsibilities

  • Administrative Support:
    • Greet and assist visitors and clients at the project site office.
    • Perform general clerical duties such as photocopying, faxing, and mailing.
    • Maintain and organize electronic and hard copy project files.
    • Respond to requests for information and project data promptly.
  • Project Coordination:
    • Maintain and manage project submittal logs and overall project schedules.
    • Prepare and modify documents including correspondences, reports, memos, and emails.
    • Track project schedules and deadlines to ensure timely deliverables.
    • Assist in preparing written responses to routine inquiries.
  • Office Management:
    • Maintain office supply inventories and place orders as necessary.
    • Ensure smooth office operations by supporting the project team with documentation and scheduling.
    • Handle incoming and outgoing mail, and maintain communication channels.
  • Site Support:
    • Attend bid walks and conduct periodic site visits at active construction sites.
    • Collaborate with project managers and subcontractors to ensure operational efficiency.
  • Other Duties:
    • Perform additional tasks as assigned by management.

Qualifications

  • Required Skills and Experience:
    • 3-5 years of administrative experience (construction or project-based experience preferred).
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
    • Strong interpersonal and communication skills (both verbal and written).
    • Basic understanding of construction accounting and project workflow processes.
    • Physically able to navigate and attend bid walks and construction site visits.
    • Professional appearance and demeanor.
  • Preferred Education:
    • Associate degree or higher in business or related field (preferred but not required).
  • Technical Skills:
    • Proficiency in Microsoft Project or equivalent scheduling tools (training available).
    • Experience managing project submittal logs and schedules.
  • Other Requirements:
    • Clean criminal background and ability to pass pre-employment and random drug screenings.
    • A proactive work ethic, willingness to learn, and a positive attitude.
