Executive Assistant will perform professional administrative duties in support of department mission and objectives. Coordinate detailed calendar of events to include all meetings and activities requiring attention and follow up. Establish priorities and communicate assignments to staff to ensure timely follow-up and strict adherence to deadline. Research, analyze and compile variety of information for review and action required for meetings and briefings. Assist management in coordination of department functions for the effective and timely delivery of services.DUTIES AND RESPONSIBILITIES 1. Coordinate a detailed calendar of events for management including all meetings and activities that require attention and follow-up. 2. Establish priorities and communicate assignments to department staff ensuring timely follow-up and strict adherence to deadlines as directed by management. 3. Research, analyze and compile a variety of information for review and action by management as required for meetings and briefings. 4. Represent management and act on his or her behalf in providing accurate information, resolving complaints, interpreting policies and providing timely responses to private and elected officials, the media and the general public. 5. Assist in the development of budgets and operational goals; maintain oversight of division’s performance; and monitor, track and analyze budgets. 6. Prepare, draft, edit and format documents such as agenda items, resolutions, ordinances, request for proposals, memoranda of agreements and professional service contracts. Initiate correspondence from notes and general instructions. Prepare reports, packets, graphs and spreadsheets. 7. Research, identify, analyze and track, items pertaining to property valuation and assessment, the introduction of legislative bills, amendments; schedule hearings and address inquiries from public officials. 8. Handle confidential issues such as grievances and other personnel matters. 9. Responsible for establishing and maintaining official and confidential documents and records in appropriate files. 10. Schedule training and travel; procure supplies and services and review and prioritize mail. 11. Organize work, set priorities and meet critical deadlines. Supervise, train and direct the work of clerical support staff as assigned. 12. Track and maintain legal correspondents, documents and court cases working directly with county legal and management assigned attorney. 13. MINIMUM QUALIFICATIONS Bachelor’s Degree in Business Management, Business Administration, Public Administration, or related field, and two (2) years of related work experience with excellent computer skills. Background must reflect database and spreadsheet experience. Any equivalent combination related to education and/or experience may be considered for the above requirements. ADDITIONAL REQUIREMENTS PREFERENCES 1. Supervisory experience preferred. The offer of this Bernalillo County position requires compliance with the following: 1. Employee must successfully complete the post-offer employment medical examination and background investigation. 2. Employee must comply with the safety guidelines of the County. 3. Employee must complete required FEMA training(s) as assigned to position. 4. Employee must complete required Supervisor classes if applicable. WORKING CONDITIONS 1. All essential duties are performed indoors. 2. Duties are performed in a temperature-controlled environment. 3. Duties are performed on an even surface, which may be carpeted or tile. Working surface is typically dry. 4. Challenging work environment. 5. Ability to meet multiple task deadlines. 6. Flexible work hours required. EQUIPMENT, TOOLS AND MATERIALS 1. Equipment typically used in the performance of office duties include telephone, computer terminal, computer printer, computer keyboard, photocopy machine, fax machine and calculator. 2. Materials and products handled in the course of performing essential duties include files, forms, reports, various types of other paperwork, and a wide variety of basic office supplies.
