Job Description

The Contract Engineer is responsible for managing, amending, and overseeing contract templates, ensuring compliance with AUS policies, and supporting the tendering process. This role involves drafting, evaluating, negotiating, and executing contracts with vendors, suppliers, and service providers. The Contract Engineer will use AUS-approved templates, making necessary amendments to meet specific project requirements while ensuring adherence to AUS standards and UAE regulations. Additionally, the role will include tendering responsibilities to secure the best value for the university.

Job Responsibilities

  • Contract Drafting, Review, and Amendment:
  • Utilize AUS-approved contract templates, amending them as necessary to align with project-specific requirements and stakeholder needs.
  • Conduct a detailed review of contract terms, conditions, and specifications to ensure clarity, risk mitigation, and compliance with AUS standards and UAE laws.
  • Coordinate with AUS legal counsel on any amendments to standard templates and resolve legal and compliance issues.
  • Tendering and Procurement:
  • Prepare, issue, and manage tender documents for procurement projects, ensuring alignment with AUS’s procurement policies.
  • Evaluate tender submissions based on technical and commercial criteria, providing recommendations to support the selection process.
  • Collaborate with stakeholders to address questions, clarifications, and modifications throughout the tendering process to ensure the best possible outcomes for AUS.
  • Contract Negotiation:
  • Lead contract negotiations with vendors, suppliers, and contractors to secure favorable terms for AUS while maintaining cost-effectiveness and high service quality.
  • Foster professional relationships with external vendors to facilitate effective negotiations and ongoing contract performance.
  • Risk Management:
  • Identify and address potential risks associated with contracts, ensuring AUS’s interests are protected through adequate clauses in liability, indemnity, and warranties.
  • Conduct regular reviews of active contracts to monitor compliance, mitigate risks, and maintain a proactive approach to risk management.
  • Contract Administration and Compliance:
  • Manage the contract lifecycle, including amendments, renewals, and terminations, ensuring AUS is fully compliant with contractual obligations.
  • Maintain an organized database of all active and archived contracts, tracking key dates, deliverables, and compliance requirements.
  • Provide training and guidance to internal stakeholders on contract standards and compliance requirements.
  • Vendor and Stakeholder Collaboration:
  • Work closely with Procurement, Finance, and other relevant departments to coordinate contract-related activities and monitor vendor performance.
  • Ensure all stakeholders understand contract obligations, timelines, and requirements for each agreement.
  • Continuous Improvement:
  • Participate in special projects or initiatives aimed at optimizing AUS’s procurement and contract functions and processes as necessary.

Qualifications and Skills Required

  • Bachelor’s degree in Engineering.
  • Minimum of 5-9 years of experience in contract management and tendering.
  • Strong knowledge of UAE contract law, procurement best practices, and tendering processes.
  • Proficiency in using AUS-approved contract templates, with the ability to amend and customize based on specific project needs.
  • Excellent negotiation, communication, and interpersonal skills.
  • Proficiency in contract management software, tendering systems, and Microsoft Office Suite.
  • Strong analytical skills and attention to detail to assess contract terms, specifications, and compliance requirements.

Preferred Qualifications and Skills

  • Professional certification in contract management.
  • Experience in a major institution/company that has diverse requirements in IT, facilities, and construction.
