The Math & Science department in Northern State University’s College of Arts & Sciences is seeking a detail-oriented and organized Secretary to provide exceptional administrative and clerical support to faculty, staff, and students. This role is essential to ensuring the smooth day-to-day operations of the department while contributing to its academic mission.
General Duties
- Composes and finalizes letters, narratives, memos, reports, and forms to produce accurate documents.
- Records, transcribes, and distributes formal minutes of meetings to provide detailed records of proceedings and decision-making.
- Responds to requests or questions regarding routine program operations to disseminate information and aids clients and the public.
- Makes travel arrangements or schedules appointments to ensure necessary arrangements are made.
- Establishes and maintains computerized and manual filing systems by determining file naming and organizational methods for data files; and following standard filing procedures for correspondence, forms, and other documents to ensure accurate storage and retrieval capabilities. * Maintains records of fiscal activities to track expenditure of allocated funds, and incoming fees and other daily revenues.
Specific Duties
- Assists one department, one program, other programs/events as needed
- Science and Math Department: letters/correspondence, hiring processes (e.g., requests for appointment notices and contracts), budget/purchases, travel, contracts, course information (e.g., syllabi, etc.), course scheduling and faculty loads (enter and reenter), oversees grant spending, oversees labor and work study students o of interest, this department comprises 40% of the college, and thus makes up the bulk of the purchasing for the university (due to labs and grants)
- Center for Excellence in Teaching and Learning: purchasing, grants, appointment notices, letters, contracts, budget
- Math Contest: contact schools, handles registrations, organizes and plans for contest each year, maintains contacts with schools throughout to ensure participation and communication between Northern and schools, copies and grades exams, handles awards and logistics
- Performs other work as assigned.

Knowledge, Skills, and Abilities: The secretary of Science and Math should have knowledge of: business English including grammar, spelling, and punctuation; modern office equipment, practices, and procedures; basic bookkeeping; computer software applications; and department rules, procedures, and functions. The secretary of Science and Math should also have the ability to: type accurately, in positions requiring keyboarding; gather, compare, and summarize data from a variety of sources; operate a variety of office equipment; communicate information clearly and concisely; review and comprehend materials; establish and maintain effective working relationships with other employees and the general public; proof and edit solutions to arithmetic problems involving addition, subtraction, multiplication, division, and percentages; and formulate logical and reasonable conclusions from available information.
