Job Overview

We are looking for a detail-oriented and proactive Office Assistant to be an integral part of our dynamic team. This position is pivotal in ensuring the smooth operation of our office by managing a diverse range of administrative and clerical responsibilities. The selected candidate will work closely with site leaders and program staff, assisting with scheduling, coordinating community health initiatives, managing transportation logistics, and supporting outreach activities. This role demands exceptional organizational skills and the capacity to navigate multiple tasks in a fast-paced environment.

Key Responsibilities

  • Manage overall office operations, including inventory oversight, mail processing, and filing systems.
  • Provide essential administrative support to program staff by coordinating client appointments and scheduling.
  • Answer and direct incoming phone calls, assist visitors, and maintain a professional and inviting office atmosphere.
  • Organize and participate in community outreach events and health education/prevention initiatives.
  • Prepare and manage expense reports while conducting data entry using the Electronic Medical Records (EMR) system.
  • Perform additional tasks as needed to enhance office efficiency and contribute to program success.

Required Skills

  • High school diploma or equivalent.
  • Valid driver’s license.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with administrative functions such as mail merges.
  • Strong organizational skills and ability to multitask effectively.

Qualifications

  • Required Qualifications:

    • Strong organizational and multitasking abilities.
  • Preferred Qualifications:
    • Awareness of or sensitivity towards Native cultures and traditions.
    • Previous experience in a similar administrative or office support role.

Work Schedule

Monday-Friday, 9:00 AM to 5:00 PM.
