Position Summary
Reporting to the Director HIS, CPO, the Administrative Assistant position is a five month temporary full time position. Responsible for daily absence replacement, the preparation of master schedules by following pre-determined guidelines, applicable collective agreements and Hospital Policy. The position will be responsible for schedule planning, under the direction of the Director and in concert within budgetary guidelines. He or she will be responsible for posting of schedules as per the collective agreement and Hospital Policy, coordinating posted vacation schedules and ad hoc vacation requests, seasonal schedules and leave(s) of absence i.e. maternity leave. The role is also responsible for payroll for all applicable departments. The Admin Assistant will work as part of a team with on-going communication and collaboration with staff, and the Director.
Mandatory Qualifications
- Post-Secondary diploma in related field (Office Administration)
- 1 year previous scheduling/payroll experience in a unionized healthcare environment
- Previous experience using a computerized scheduling system, electronic payroll
- Proficient with Windows based systems, specifically Microsoft Office: Word, Excel, Access, Outlook
- Proficient in keyboarding with some data entry
- Excellent understanding of Human Resource Attendance Management Program processes
- The position requires the ability to remain calm and effective in stressful situations, meet deadlines and work well under pressure. Concentration is required to perform duties accurately and safely in a high activity environment.
