Job Overview:
We are in search of a DYNAMIC Executive Assistant to become an integral part of our team. The ideal candidate will have 2 or more years of experience in providing high-level administrative support to senior executives.
The Executive Assistant will be responsible for managing day-to-day operations, ensuring smooth communication, and assisting with time and daily management. Being proactive, detail-oriented, and having the ability to anticipate the needs of the executive are crucial attributes for this role.
What You Will Do:
- Calendar Management: Schedule, coordinate, and manage appointments, meetings, and events for the executive, ensuring no scheduling conflicts.
- Communication: Act as a liaison between the executive and internal/external clients, ensuring timely and clear communication.
- Document Preparation: Draft, edit, and format documents, presentations, and reports, ensuring they are accurate and professionally presented.
- Travel Arrangements: Plan and organise travel itineraries, accommodations, and other related tasks for the executive.
- Meeting Preparation: Coordinate and prepare materials for meetings, take minutes, and ensure follow-ups are executed.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain the confidentiality of business operations.
- Research: Conduct research on various topics as directed by the executive to aid decision-making.
- Expense Management: Track and reconcile monthly expenses, ensuring timely submission and accuracy.
- Project Management: Assist in the coordination and execution of special projects as needed
- Continuous Learning: Stay updated with the latest best practices in executive assistance and administrative functions.
- Personal tasks for the directorsÂ
- Proactively identify and implement process improvements to enhance administrative workflow efficiency and effectiveness.
What we require:Â
- 2+ years of experience in Executive Assistance
- Proven experience in managing complex schedules and coordinating appointments.
- Strong interpersonal skills with the ability to liaise effectively.Â
- Proficiency in drafting, editing, and formatting professional documents and presentations.
- Demonstrated experience in travel planning and logistics coordination.
- Adeptness in facilitating meetings, including minute-taking and follow-up actions.
- Unwavering commitment to maintaining confidentiality and handling sensitive information with discretion.
