The Executive Assistant provides essential support for the daily activities of the Chief Financial Officer. This role involves general clerical and administrative assistance for the Finance, Investments, and Donor Operations teams. Strong communication skills, initiative, organization, follow-up, and responsiveness are crucial for success in this position. The Executive Assistant must be able to prioritize effectively, demonstrate flexibility, and operate autonomously in an environment with competing priorities and requests.

This role is a hybrid position. Mondays and Fridays are optionally remote, and Tuesday through Thursday, you will work at the FFTC office in Uptown Charlotte.

Your Daily Responsibilities Will Include

Administrative Support for Chief Financial Officer

  • Provides communication support to the Chief Financial Officer by handling phone calls, emails, and other forms of communication.
  • Assists with administrative tasks, including managing calendars, scheduling appointments, preparing for meetings, filing documents, making travel arrangements, and creating expense reports.
  • Enters and updates client data in FFTC’s computer system as necessary.
  • Implements, maintains and develops efficient and effective administrative systems.

Board Management Support

  • Provides support for the FFTC Audit, Finance, and Investment Committees by scheduling board and planning meetings, preparing meeting packets and agendas, copying and mailing board books, setting up and breaking down meetings (including any catering needs), handling correspondence, and performing other tasks as needed.
  • Additionally, it provides administrative assistance to key client boards and committees, including Greater Charlotte Cultural Trust, Queen’s University of Charlotte Endowment, and others as required.

CFO Team Support

  • -Serves as a point of contact for the CFO Team and manages issues and priorities as they arise.
  • Provides administrative support for the CFO Team on various projects as needed.
  • Oversees document retention for the team and helps ensure compliance with policies.
  • Opens and distributes mail daily for the CFO Team staff.

Requirements

  • Bachelor’s degree or equivalent work experience
  • Familiarity with the Blackbaud suite of products is a plus
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint
  • Strong project management and organizational skills
  • Responsive and service-oriented work style
  • Excellent organizational and scheduling abilities
  • Capable of multitasking, working under pressure, and meeting deadlines
  • Able to work both independently and collaboratively as part of a team
  • Strong communication skills with clients and colleagues

Salary Description

$55,000 – $60,000/year
