OVERVIEW: The Administrative Assistant at the Administrative Services Center, under the guidance of the Administrative Supervisor or Practice Support Manager, is dedicated to providing exceptional administrative support to the legal teams within the firm. This role thrives on ensuring the accurate preparation of documents, meeting deadlines, and delivering superior client service to both internal and external stakeholders.
PRIMARY RESPONSIBILITIES:
- Facilitate general administrative support for legal teams including:
- Precise data entry of receipt/approval notice details into the in-house database, ensuring accurate representation of government case numbers and validity dates.
- Preparation of meticulously crafted approval letters and notifications for external clients.
- Efficient coordination and rescheduling of appointments with external clients per the directives of the US government.
- Preparation of requests for petition withdrawals to government agencies.
- Update the internal ticketing system to reflect the precise status of requests from legal teams.
- Ensure the physical filing of paperwork with government agencies and the seamless uploading of documents to internal systems.
- Perform general copying and scanning of documents with precision.
- Prepare shipping labels, and letters, and collate packets for employer/client copies in a methodical manner.
- Utilize and update the in-house database according to the provided instructions.
- Provide valuable assistance with projects related to the practice as required.
QUALIFICATIONS:
- Possesses a minimum of 1+ years of experience in an office environment.
- Preferred experience working in immigration-related tasks.
- High School Diploma or equivalent required.
- Associate degree or 2 years of college preferred.
- Adapts quickly to new technologies, ensuring seamless integration into daily tasks.
- Quick grasp of new processes, adept at applying technological skills.
- Proficient in general office clerical tasks including phones, typing, and filing.
- Demonstrated proficiency in the Microsoft Office Suite.
- Ability to effectively manage multiple assignments concurrently.
- Possesses a keen eye for detail and unwavering commitment to accuracy.
- Capable of managing heavy workloads efficiently.
- Exceptional verbal and written communication skills.
- Exemplifies excellent customer service with a positive and welcoming demeanor.
