Role Overview

We are seeking a dynamic and detail-oriented Project Manager to join our Creative Services team. Reporting to the Creative Director, this role is critical to ensuring the seamless execution of creative projects from concept to completion. The Project Manager will oversee day-to-day project workflows, manage timelines, and coordinate cross-functional teams to bring creative visions to life. This role also requires on-location management to guarantee the quality of deliverables at installation or activation points. This role is seasonal, can be part-time or full-time depending on the selected candidate, and needs to reside in Utah, preferably the Ogden area.

Key Responsibilities

Project Oversight & Execution

  • Lead the end-to-end management of creative projects, ensuring timely delivery and adherence to quality standards.
  • Oversee production schedules, budgets, and resource allocation for multiple concurrent projects.
  • Collaborate with internal departments and external partners (vendors, contractors) to align on project objectives and expectations.
  • Manage and oversee a creative services production calendar including design, installation, implementation, communications, and more.
  • Anticipate bottlenecks, clarify project priorities, identify risks, and escalate issues that cannot be internally resolved.
  • Manage requests/tasks and distribute information between different team members to ensure all operations run smoothly and on time.
  • Coordinate with key internal stakeholders on Creative Services and Maintenance.
  • Define best practices for the team to ensure consistency in project tracking, file organization, and deliverables.
  • Maintain up-to-date documentation and records of all ongoing projects for internal and external reporting.
  • Assist in the planning, scheduling, and execution of creative services projects ranging from merchandising, interior design, and procurement.
  • Maintain and monitor design, production, installation, and maintenance schedules. Follow up on core tasks, set key milestones, and ensure stakeholders are on task and on time with deliverables.
  • Provide regular status reports and updates to the team.
  • Research, source, and negotiate with appropriate suppliers and contractors.

In-Person Execution & On-Location Management

  • Serve as the on-site manager for creative installations, activations, and other live project executions.
  • Conduct on-location quality checks to ensure creative assets are properly displayed and functional as intended.
  • Troubleshoot on-site issues in real-time, escalating problems when necessary.

Ongoing Project Maintenance & Support

  • Manage and update project tracking tools and systems to ensure project status is transparent and accessible to all stakeholders.
  • Monitor and track ongoing maintenance needs for creative assets after project completion.
  • Communicate status updates, risks, and blockers to stakeholders in a timely and clear manner.

Requirements

  • 3-5+ years of experience in project management within creative, marketing, or production environments.
  • Proven experience overseeing in-person activations, installations, or on-location creative executions.
  • Strong familiarity with creative production workflows, from concept to installation.
  • Proficiency in project management software such as Asana.
  • Working knowledge of design tools (like Adobe Creative Suite) is a plus.
  • Ability to read and interpret production schematics, blueprints, or design mockups a strong plus. Strong understanding of Project Management concepts and best practices.
  • A strong interest in architecture, art, design, and culture is a plus – as well as a general eye and understanding of interior design, and spacial design.
  • Passion for art and a deep understanding of how it can enhance the overall guest experience.
  • Proven experience in managing the production and execution of experiential and/or design projects.
  • Excellent interpersonal and communication skills, with a proven track record of managing cross-functional teams.
  • Ability to problem-solve on-site with a calm, solutions-oriented approach.
  • High attention to detail, especially when reviewing creative deliverables for quality assurance.
  • Experience coordinating between numerous stakeholders and vendors.
  • Strong time management and prioritization skills, with the ability to manage multiple projects simultaneously.
  • Adept in Google Workspace or similar software.
  • Ability to work in a fast-paced environment, adapting to changing priorities while maintaining a positive attitude.
