Job Description
As an Executive Assistant, you’ll be at the heart of a dynamic and fast-paced CPA firm, playing a crucial role in supporting high-level operations and client interactions. Responsibilities
- Masterfully manage and prioritize the executive’s schedule, including arranging meetings and coordinating travel arrangements
- Take comprehensive notes during client meetings and proactively follow up on action items
- Drive client onboarding processes and maintain the CRM platform with meticulous attention to detail
- Handle confidential information with the utmost discretion and professionalism
- Anticipate needs and proactively manage tasks before being asked, demonstrating initiative and foresight
- Conduct follow-up calls with clients, ensuring clear and effective communication
- Develop and maintain efficient digital and physical filing systems
- Collaborate with team members across different time zones, facilitating smooth communication and workflow
Requirements
- 4+ years of proven track record as an Executive Assistant or in a similar high-level support role
- Candidates with Accounting background will be prioritized
- Exceptional organizational skills with a talent for juggling multiple priorities
- Demonstrated ability to handle sensitive information with absolute confidentiality
- Proficiency in CRM systems and general office software
- Outstanding written and verbal communication skills
- Self-motivated with the ability to work independently in a remote setting
- Experience in a professional services environment, preferably in finance or accounting
- Adaptability to changing priorities and ability to thrive in a fast-paced environment
- Strong problem-solving skills and a proactive approach to challenges
- Ability to understand and operate within the context of a CPA firm’s operations
