Responsibilities Of Administrative Assistant
Serve as the main contact for administrative services in the Charleston district office.
- Serve as the front-line customer service provider for the office, including answering phones, greeting visitors, opening, stamping, and filing mail, and providing general information on agency programs.
- Manage office supplies and inventory, including ordering, stocking, and distributing supplies as needed.
- Ensure fiscal activities such as shopping carts, authorizations, purchase orders, goods receipts, invoices, and other financial documentation are processed in accordance with agency policies.
- Schedule appointments with service providers after receiving the purchase order. Notify consumer of appointment using consumer’s preferred method of contact. Provide the consumer with an appointment reminders using preferred method of contact.
- Provide general administrative support including but not limited to consumer case file assembly/maintenance, photocopying, faxing, filing, and document preparation for assigned region.
- Maintain positive, professional relationships with vendors and service providers, coordinating services and addressing issues as they arise to ensure timely coordination of services.
- Assist counselors with scheduling and coordinating meetings and appointments with consumers.
- Participate in weekly caseload management sessions with the counselor to discuss caseload and specific consumer needs.
- Review the monthly Quality Assurance Open Encumbrance report. Follow up with vendors/service providers for each open authorization to determine if goods and/or services were received and gather necessary documentation.
Minimum And Additional Requirements
A high school diploma and 1 year of relevant experience.
Additional Requirements
Ability to exercise discretion in interpreting and applying established departmental policies and procedures. Good verbal and written communication skills. Ability to understand and carry out complex oral and written instructions. Considerable knowledge in the use of computer applications including Word, Excel, Outlook, etc. The ability to work as part of a team.
The employee will be expected to apply discretion and confidentiality in interpreting and applying office practices and procedures. Employee will be responsible for meeting all designated productivity standards in a quality manner with minimal supervision.
Some travel, to include overnight, is expected. This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This is largely a sedentary role; however, some filing is required. This would require the ability to move files, open filing cabinets and bend or stand as necessary
