Role overview
Kaizen Global Technologies is seeking a permanent Document Controller for a project-based environment in Cooma, Australia. This role focuses on managing the full documentation flow for large-scale work, with close coordination across technical and commercial teams.
Key responsibilities
- Oversee project documents from creation through final archiving, using Aconex as the main platform.
- Apply document numbering rules, version updates, naming standards, and filing procedures consistently.
- Receive, route, monitor, and issue incoming and outgoing project documentation.
- Keep document logs, trackers, and reporting tools up to date in Excel and SharePoint.
- Coordinate customer submittals and manage documentation created through SAP.
- Track reviews, approvals, feedback comments, and re-submissions to keep workflows moving.
- Prepare document status updates, KPI reports, and audit trail records.
- Work with Engineering, Construction, Procurement, and Quality teams to ensure documents are submitted on time.
- Assist internal and external audits by producing complete and accurate records.
Experience and skills needed
- At least 5 years of experience in document control, ideally in construction, infrastructure, engineering, energy, or other major project environments.
- Practical experience using Aconex for document management.
- Advanced Excel knowledge, including VLOOKUP, pivot tables, charts, and reporting functions.
- Experience maintaining registers, trackers, and document control systems.
- Strong grasp of document control workflows, version management, and project documentation standards.
