Role overview
The Qatar Free Zones Authority is looking for a meticulous and well-organized Document Controller to help procurement functions run smoothly through strong document handling, compliance, and record maintenance. The position plays an important role in keeping procurement files accurate, current, and compliant with internal procedures, audit expectations, and applicable regulations.
Core responsibilities
- Handle the full range of procurement records, such as tenders, contracts, purchase orders, and related correspondence.
- Apply consistent document control practices, including version tracking and structured filing, in line with organizational and audit standards.
- Assist procurement staff with building and arranging tender packages, evaluation documents, and contract folders.
- Keep a single, organized repository for procurement records so information remains easy to access, follow, and verify.
- Track document deadlines and make sure records are collected and logged accurately within required timelines.
- Follow document retention rules and ensure all filing practices meet regulatory obligations.
- Liaise with internal teams to gather the documentation needed for procurement workflows.
- Support audits by producing complete and accurate records whenever needed.
- Help monitor procurement progress and maintain documentation-related reports and logs.
Qualifications and experience
Candidates should hold a bachelor’s degree or diploma in Business Administration, Supply Chain, or another relevant discipline. A background of 3 to 5 years in document control is required, ideally gained in procurement or a closely related setting. The role calls for strong familiarity with document management tools and filing procedures, along with excellent attention to detail, administration, and organization. Experience using ERP platforms such as Microsoft Dynamics or similar systems will be considered an advantage. Good communication skills and the ability to work across teams are also important.
