Job description
Overview
This position is a one-year contract role responsible for implementing professional Quality Management System (QMS) standards and processes to meet defined objectives. The role involves creating and managing documentation such as documented processes, procedures, and Standard Operating Procedures (SOPs) that regulate business operations and oversee their entire lifecycle. The specialist continuously enhances quality standards, policies, programs, and procedures to support the ongoing improvement of the Integrated Management System (IMS). Serving as the custodian of IMS documentation, this role ensures readiness and compliance for internal, external, and customer audits.
Key Responsibilities
- Plan and execute QMS projects specific to the unit, ensuring actions are implemented and their effectiveness and sustainability are monitored through the documented management system.
- Manage the controlled document library including manuals, procedures, SOPs, work instructions, forms, and registers, overseeing their full lifecycle covering review, approval, numbering, revision control, distribution, archiving, obsolescence, and retention.
- Maintain the master document register to guarantee only current versions are used at points of operation, and remove outdated versions from circulation; control external documents such as codes, standards, and specifications.
- Collaborate with process owners across functions to write, restructure, and standardize procedures and SOPs, and create process flows and swimlane diagrams using Visio.
- Plan, schedule, carry out, and report internal audits against IMS and relevant international standards.
- Manage the corrective and preventive action process after audits, including root cause analysis, action tracking, verification, and effectiveness assessment.
- Generate real-time transparency for ad-hoc analysis, support prompt decision-making and preventive actions, and compile system KPIs and audit status for management reviews.
- Promote innovative digital improvements to documentation and workflows by automating review, approval, notification, and reporting using Power Automate and SharePoint.
- Lead continuous improvement initiatives focusing on enhancing processes with Continuous Improvement tools, including Lean and Six Sigma methodologies.
Skill Requirements and Qualifications
- Bachelor's degree in Mechanical Engineering or equivalent with relevant experience.
- Mid-level expertise in Quality Management Systems and document control.
- 4 to 7 years of proven experience managing responsibilities outlined above.
- Mandatory ISO 9001 Lead Auditor certification.
- Familiarity with international standards such as ISO 9001, ASME, API, ASTM, EN, and DIN.
- Proficiency in Microsoft Office suite including Word, Excel, PowerPoint, Outlook, SharePoint, Teams, and Power Automate; strong skills in document automation and workflow management.
- Experience with Visio for process mapping and diagram creation.
- Additional knowledge of Power BI and SAP is advantageous.
- Strong technical writing capability, excellent communication, teamwork, problem-solving, and report drafting skills.
Additional Information
This contract role is onsite in the Eastern Province of Saudi Arabia. The specialist will serve as the focal point for ensuring continuous compliance and audit-readiness of the management systems. Continuous improvement through digital innovation and adherence to international standards is critical for this role.
