About the Role

The Development Office at the National University of Singapore is dedicated to advancing philanthropic support for the university's mission. Within this, the Gift Processing Team, part of the Operations Team, is looking for an Executive/Senior Executive to manage gift processing activities.

This position involves ensuring the prompt and accurate handling of gifts received by the university, supporting operational functions, and contributing to continuous process enhancements. It is ideal for candidates interested in administrative, process-focused tasks within a university context, valuing precision and stakeholder collaboration.

Key Responsibilities

  • Accurately record and update gift receipts from various platforms and payment modes following established procedures.
  • Collaborate with faculties and offices at NUS to coordinate and reconcile gift processing documentation.
  • Organize electronic and physical gift processing records to maintain document integrity.
  • Engage with internal and external stakeholders to follow up on gift processing concerns.
  • Assist with fund posting activities in cooperation with the Office of Finance.
  • Conduct training sessions on gift processing for internal staff.
  • Prepare and deliver accurate monthly gift reports on time.
  • Provide clarification and respond to inquiries about gift processing guidelines.
  • Review and recommend improvements to current workflows.
  • Support additional operational tasks and projects as assigned.

Candidate Profile

  • Holds a recognised Diploma or Degree.
  • Experience in trusts, foundations, societies, or similar organizations, particularly in administrative or numerical roles, is advantageous.
  • Proficiency in Microsoft Office, with strong skills in Microsoft Excel.
  • Detail-oriented with the ability to engage professionally with diverse stakeholders.
  • Good teamwork and interpersonal communication skills.
  • Positive attitude with capability to manage multiple tasks simultaneously.
  • Effective written and verbal communication skills, able to clarify processes clearly.
  • Flexible and adaptable to changes in organizational processes and structure.

The role offers on-the-job training to provide necessary domain knowledge related to gift processing.
