Parsons is seeking a skilled Document Controller to support project operations in Jeddah. The role focuses on managing the movement, control, tracking, and storage of project documents across engineering, construction, and other internal teams.

This position requires a solid understanding of document control workflows, records management, and the use of electronic document management systems. The successful candidate will help keep documentation accurate, accessible, properly approved, and distributed on time.

Key Responsibilities

  • Coordinate document flow between project operations, engineering disciplines, construction teams, and other departments.
  • Apply document and records management practices, with emphasis on controlled document handling and data administration systems.
  • Process multiple document categories through each required step according to established procedures and project guidelines.
  • Ensure document control rules are followed, including numbering formats, approval routing, and signature requirements.
  • Register incoming and outgoing documents, maintain databases, and prepare logs, transmittals, and status reports.
  • Use office and department-specific applications to enter data, prepare reports, and manage routine correspondence.
  • Support users in finding and retrieving electronic records and information.
  • Maintain the project’s document distribution system and update schedules as needed to secure timely reviews, approvals, and releases.
  • Follow up on supplier and internally generated documents to accelerate review, signature, approval, and issuance.
  • Check retention rules, arrange cataloging and archiving, and support long-term storage or disposal during project closeout.
  • Manage scheduled destruction of archived files in line with company or client requirements and assist with document retrieval requests.
  • Support junior document control team members in applying project procedures effectively.
  • Act as a link between the support group, home office, and site personnel, and coordinate with internal and external stakeholders.
  • Prepare required reports and complete other duties relevant to the role.

Required Qualifications and Skills

  • A degree in MIS, Business Administration, or a related field.
  • At least 2 years of experience in construction projects, including work across multidisciplinary teams.
  • Experience with major PM/CM contracts is considered an advantage.
  • Strong English communication skills, both written and spoken.
  • Knowledge of Aconex or similar EDMS platforms is preferred; certification in Aconex or comparable software is an added advantage.
  • Good typing ability and working knowledge of MS Windows, word processing, spreadsheets, and database tools.
  • Strong written and verbal communication, organization, and interpersonal abilities.
  • Ability to collaborate effectively with project staff and management.
