Job description

Role Overview

Needham & Company, a comprehensive investment banking firm, seeks a seasoned Executive Assistant/Office Manager to join their Boston headquarters. The role involves supporting multiple senior bankers and overseeing general office operations.

Key Responsibilities

  • Manage executive calendars comprehensively, scheduling appointments, meetings, and conference calls with internal and external teams while aligning with executives’ priorities.
  • Handle high volumes of calls and emails, exercising discretion and sound judgment in communications.
  • Arrange complex travel plans, adapting proactively to changes and their subsequent impacts.
  • Serve as a direct client liaison, including initiating meeting outreach.
  • Maintain confidentiality of sensitive company and departmental information.
  • Process expense reports using the travel and expense system.
  • Oversee general office administration: replenishing supplies, handling mail and packages, onboarding new hires, reserving conference rooms, and more.
  • Act as the primary contact for office and building vendor requests and issues.
  • Collaborate effectively with a team-oriented professional staff across departments and locations.
  • Plan and coordinate office events.

Ideal Candidate Profile

  • Exceptionally organized, capable of juggling multiple priorities simultaneously in a fast-paced, dynamic environment with frequently changing schedules.
  • Strong written and verbal communication skills, adept at working under tight deadlines and with diverse internal and external stakeholders.
  • Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook.
  • Five or more years of administrative experience in investment banking, capital markets, private equity, or related financial sectors.
  • Availability to work onsite 4 to 5 days per week.

Compensation and Benefits

The anticipated salary range for this position is $85,000 to $100,000 annually, dependent on experience, skills, licensing status, market factors, and business requirements. Additional compensation components include discretionary bonuses and a benefits package featuring a 401(k) with company match, health, dental, vision, life, and disability insurance, flexible spending accounts, commuter benefits, and paid time off.
