Job description
Role Overview
The Process Improvement Manager / Process Analyst is dedicated to examining and enhancing business operations to boost efficiency, quality, productivity, customer satisfaction, and cost-effectiveness. This position collaborates closely with senior leadership and multiple departments including operations, technology, finance, and quality assurance to optimize current workflows and implement lasting process standards.
Key Responsibilities
- Evaluate existing business processes, workflows, and systems to detect inefficiencies such as bottlenecks, workflow duplication, delays, waste, and control weaknesses.
- Conduct business requirements gathering through stakeholder interviews, workshops, observations, data analysis, and document reviews.
- Create detailed mappings of current and future process states using tools like flowcharts, process maps, SIPOC, BPMN, and value-stream mapping.
- Identify root causes of operational issues and formulate actionable improvement recommendations.
- Design enhanced workflows, procedures, operating frameworks, controls, and process standards.
- Develop business cases, cost-benefit analyses, implementation roadmaps, and performance targets for approved improvements.
- Lead end-to-end process improvement initiatives including design, implementation, testing, user adoption, and review phases.
- Partner with diverse teams—business, technology, management, quality, finance, and compliance—to facilitate improvement deployment.
- Set and monitor process KPIs, SLAs, dashboards, and reporting mechanisms to track performance.
- Analyze operational data continuously to expose trends, spot performance gaps, and uncover opportunities for ongoing enhancement.
- Apply methodologies such as Lean, Six Sigma, Kaizen, Continuous Improvement, and Total Quality Management to optimize processes.
- Conduct assessments like process audits, maturity evaluations, control checks, and operational reviews.
- Scout for automation, digitization, AI, robotic process automation, and system integration opportunities to reduce manual effort.
- Evaluate existing technology applications and recommend new tools or platforms for efficiency gains.
- Collaborate with automation and technology teams to clarify requirements, conduct solution testing, and measure benefits.
- Create and maintain standard operating procedures, work instructions, policies, and knowledge base resources.
- Support organizational change management by communicating changes, preparing training content, coordinating deployments, and tracking adoption rates.
- Measure and report on outcomes related to productivity, cycle times, cost savings, quality improvements, error reduction, customer satisfaction, and service delivery.
- Ensure that implemented changes are sustained and refined through ongoing monitoring and continuous improvement efforts.
- Produce detailed management reports, executive presentations, dashboards, and status updates regarding process improvements.
- Assist with risk management, internal control enhancements, governance compliance, and operational resilience within redesigned processes.
- Lead or mentor junior process analysts and improvement teams, fostering a culture of operational excellence and innovation.
Qualifications and Skills
- Bachelor’s or Master’s degree in areas such as Business Administration, Operations Management, Industrial Engineering, Information Systems, Management, or Finance.
- In-depth knowledge of business process analysis, improvement methodologies (Lean, Six Sigma, Kaizen), and process optimization techniques.
- Proficiency in creating and interpreting process models including SOPs, BPMN diagrams, SIPOC charts, and value stream maps.
- Strong analytical, numerical, problem-solving, and critical thinking abilities.
- Experience with process visualization software such as Microsoft Visio, Lucidchart, Signavio, Bizagi, or Miro.
- Advanced skills in Microsoft Excel and familiarity with business intelligence tools like Power BI and Tableau.
- Understanding of automation technologies including Robotic Process Automation (RPA), workflow automation, APIs, low-code/no-code platforms, and AI-driven process optimization.
- Knowledge of automation tools such as UiPath, Automation Anywhere, or Power Automate is advantageous.
- Awareness of ERP, CRM, BPM, workflow management, and enterprise technology systems.
- Competent in project management with the capacity to oversee improvement initiatives, milestones, risks, and stakeholder engagement.
- Excellent communication, facilitation, stakeholder management, presentation, and negotiation skills.
- Ability to transform complex operational challenges into actionable, measurable solutions.
- Experience developing KPIs, managing SLAs, performance measurement, and operational reporting.
- Familiarity with risk management, internal controls, governance, quality standards, and compliance.
- Exposure to AI-powered process mining, intelligent automation, predictive analytics, and digital workflow technologies is a plus.
- Leadership and team management experience suitable for managing process improvement teams.
- Relevant certifications like Lean Six Sigma Green Belt/Black Belt, PMP, CBAP, or BPM credentials are beneficial.
- Demonstrated analytical mindset, attention to detail, accountability, and commitment to continuous improvement.
- Strong dedication to enhancing efficiency, quality, customer experience, automation, scalability, and operational performance.
