Dispatch Manager

About the Role

We seek a seasoned Dispatch Manager to oversee daily dispatch and logistics functions. The individual will orchestrate dispatch planning, supervise the dispatch team, collaborate with warehouse and transport personnel, and ensure prompt, precise deliveries to clients.

Primary Duties

• Organize and manage daily dispatch based on confirmed sales orders.
• Liaise with Sales, Warehouse, Accounts, and Transport departments to ensure seamless dispatch processes.
• Validate accurate material, quantity, and customer details prior to dispatch.
• Prepare and check invoices, e-way bills, delivery challans, LR/transport documents, and other required dispatch paperwork.
• Coordinate timely vehicle arrangements with transporters, drivers, and logistics partners.
• Supervise material loading for safety and correctness.
• Monitor shipment status and maintain communication with transporters until delivery completion.
• Address customer delivery inquiries and facilitate resolution of any delivery issues.
• Maintain daily dispatch records and generate dispatch reports.
• Track pending orders ensuring they are dispatched within schedule.
• Assign tasks and manage dispatch and warehouse staff workloads.
• Collaborate with the warehouse team on stock availability and material preparation.
• Ensure proper documentation and systematic filing of dispatch records.
• Manage issues like shortages, damages, incorrect shipments, and delays.
• Maintain strong relations with transporters and negotiate transport needs.
• Ensure dispatch complies with company protocols and safety standards.
• Provide management with regular updates on dispatch status, pending deliveries, and transport challenges.

Qualifications and Skills

• In-depth understanding of dispatch and logistics operations.
• Experienced in coordinating with transporters, drivers, and scheduling deliveries.
• Familiarity with GST invoices, e-way bills, LR, and delivery challans.
• Competent in MS Excel and fundamental computer skills.
• Strong communication and coordination capabilities.
• Experience managing a dispatch or warehouse team.
• Excellent problem-solving and decision-making aptitude.
• Ability to handle pressure and achieve daily dispatch goals.
• Knowledge of regional and intercity transportation is an advantage.
