Job Summary: Ink 48 Hotel, managed by Rebel Hotel Company, is seeking a banquet & hotel sales coordinator with union experience to join our team. This role will work collaboratively with the hotel sales team, union banquet staff, and our third-party food and beverage partner to ensure seamless event execution, maximize revenue, and enhance the guest experience. The ideal candidate will have a strong background in hotel sales, event planning, and operations, with the ability to navigate a unionized environment effectively. When there is downtime in banquet and event coordination, this role will also support the sales team with group bookings and sales-related administrative tasks.

Key Responsibilities

Sales & Coordination:

  • Support the hotel sales team in securing and coordinating banquet and event bookings.
  • Serve as the liaison between clients, sales managers, union staff executing events, and the third-party food & beverage partner to ensure all event details are properly communicated and executed.
  • Assist in contract preparation, proposals, and banquet event order (BEO) development to ensure all event details are accurately documented.
  • Conduct site inspections and walkthroughs with potential clients to showcase banquet and meeting spaces.
  • When event coordination responsibilities allow, assist the sales team with group bookings and sales-related administrative tasks.

Collaboration & Operations

  • Work closely with a union banquet staff to ensure proper setup, service execution, and adherence to contractual agreements.
  • Partner with the third-party food and beverage provider to coordinate catering needs, menu selections, and service expectations.
  • Ensure all union regulations and hotel policies are followed during event execution.
  • Monitor event timelines and assist with resolving any day-of challenges to ensure client satisfaction.

Client Relations & Follow-Up

  • Serve as the primary point of contact for event planners and clients from contract signing through post-event follow-up.
  • Build and maintain strong client relationships to drive repeat business and referrals.
  • Conduct post-event evaluations and gather feedback for continuous improvement.
  • Administrative & Reporting:
  • Maintain accurate event records, sales reports, and booking forecasts.
  • Assist in updating sales systems and tracking revenue goals.
  • Support the sales team in developing marketing materials and promotional campaigns for banquet and event sales
  • Create client’s invoices and handle payment processing
