This position may be filled remotely or in any of our HB locations.
The Onboarding Coordinator assists with the onboarding and new hire experience efforts of all incoming talent across the firm. This role will coordinate orientation schedules and logistics related to a new hire’s onboarding experience. Essential job functions include:
- Provide administrative support and independently oversee special projects as assigned by the Onboarding Manager and the Director – Talent Acquisition.
- Support onboarding initiatives by becoming knowledgeable of initiative timelines and collateral.
- Communicate and collaborate with members of the Talent Acquisition department, and other administrative departments, on scheduling, handouts, and logistical and technical matters related to onboarding and integration efforts.
- Create and distribute orientation schedules for all incoming new hires across the firm.
- Assist with monitoring and updating the new hire spreadsheet and managing provisioning requests.
- Work closely with internal owners of provisioning items for new hires.
- Coordinate/communicate travel plans for incoming hires who will travel for orientation and expense reporting as needed.
- Coordinate Onboarding calendar, including templates, meeting participants, and session details.
- Support the Onboarding team with internal communications announcing new hires.
- Assist with the development and coordination of orientation plans, specific to each SBU, PSC, office, and/or administrative department.
- Coordination of New Hire Welcome Gifts.
- Coordinate and perform HuB updates for department.
- Special projects as required.
Position Requirements
- High School Diploma or GED required; 2-year degree preferred.
- 3?5 years’ experience required at an administrative level in the legal or professional services industry.
- Exceptional organizational skills.
- Excellent written, oral, and interpersonal communication skills, including attention to spelling and grammar.
- Demonstrated experience and expertise with calendaring, preferably with experience managing multiple time zones.
- Good independent judgment.
- Keen attention to details.
- Ability to manage multiple priorities and time-sensitive assignments
- Ability to work under pressure in a fast-paced environment.
- Proficiency in Microsoft Office applications, Outlook, , Microsoft Teams, and EMS.
- Experience with UKG (UltiPro) or other onboarding platform preferred.
- Experience with travel arrangements and scheduling in MS Outlook.
- Typing/Word Processing at a minimum of 40 WPM.
- Ability to maintain confidentiality.
- Strong work ethic.
- High comfort level working with professionals at all levels.
- Ability to work well under the pressures of tight deadlines with minimal oversight.

Compensation And Benefits
Employees are entitled to compensation commensurate with skill and experience. The exact compensation will vary based on skills, experience, location, and other factors permitted by law. The expected compensation ranges for this position in various states and jurisdictions are as follows:
State of California: $43,000 – $83,000
State of Colorado: $40,000 – $71,000
State of Illinois: $39,000 – $76,000
Jersey City, NJ: $47,000 – $85,000
State of Maryland: $42,000 – $64,000
State of Massachusetts: $43,000 – $83,000
State of Minnesota: $43,000 – $72,000
State of New York: $40,000 – $87,000
State of Washington: $42,000 – $80,000
Washington, D.C.: $56,000 – $82,000
The above salaries do not include a discretionary bonus, however bonus opportunities are non-guaranteed, and are dependent upon individual and firm performance.
