Job Description

Embark on an exciting journey as an Administrative Assistant in the vibrant world of classical and jazz music management. You’ll play a crucial part in executing marketing campaigns, managing client relationships, and supporting fundraising efforts that directly impact the careers of gifted artists. Responsibilities

  • Craft and send engaging “sizzle emails” to potential clients, showcasing our artists’ talents and upcoming performances
  • Maintain meticulous records in our proprietary CRM system (Tempo), ensuring all client interactions are accurately documented
  • Support our fundraising initiatives by monitoring grant applications and managing online submission processes
  • Streamline communication by managing multiple email inboxes, prioritizing important messages, and maintaining inbox organization
  • Contribute to artist recruitment efforts by reaching out to potential new talent with tailored email communications
  • Coordinate follow-up tasks and schedule future client contacts to maintain strong relationships
  • Assist with various administrative duties to support the management team and overall company operations
  • Collaborate on creating and updating artist profiles for the company website, including compiling reviews, selecting images, and organizing multimedia content

Requirements

  • Exceptional attention to detail and ability to follow established processes with precision
  • Strong written communication skills in English, with the ability to craft compelling and error-free emails
  • Proficiency in CRM systems and email management tools, with a quick learning curve for new software
  • Self-motivated with excellent time management skills, capable of working independently in a remote setting
  • Basic understanding of or genuine interest in classical and jazz music
  • Comfort with repetitive tasks while maintaining high quality and consistency in work output
  • Long-term commitment to the role, with an enthusiasm for potential growth within the company
  • Comfortable with computer-based tasks; no phone communication required
  • Ability to balance multiple projects and adapt to changing priorities in a dynamic arts management environment
