Brown and Buchanan Ventures Company is a veteran-owned franchise in the vacation rental property management industry, operating across multiple states, including Tennessee, South Carolina, Texas, Colorado, California, and more. We specialize in providing top-tier property management solutions, ensuring a seamless experience for property owners and guests alike.

 

We are looking to hire a detail-oriented, proactive Onboarding Manager who will communicate with the Owners of our newly signed properties and manage our onboarding team. This role is critical in streamlining the onboarding process for new properties, optimizing workflows, reducing customer acquisition costs, and ensuring all necessary permits are tracked and maintained for property compliance.

Key Responsibilities

  • Optimize and Streamline Onboarding: Efficiently onboard properties to online travel agencies (e.g., Airbnb, VRBO), ensuring accuracy and completeness in property listings and configurations.
  • Cost Reduction in Customer Acquisition: Identify opportunities to reduce customer acquisition costs by negotiating better rates for essential services such as photography, lock systems, and other property setup products, ensuring competitive pricing and value for property owners.
  • Manage Permitting Process: Oversee and manage a Permitting Specialist to ensure all necessary permits are obtained, tracked, and maintained for property compliance. This includes regular follow-ups, status tracking, and timely renewals to avoid operational disruptions.
  • Ticket Management: Manage and resolve onboarding tickets within HubSpot, maintaining timely follow-ups and efficient resolutions to ensure a smooth onboarding experience.
  • CRM Utilization: Leverage CRM systems (preferably HubSpot) to track and enhance the onboarding journey, ensuring seamless communication and operational efficiency.
  • Automation and Workflow Improvement: Implement automation solutions and optimize workflows to increase operational efficiency, reducing manual intervention and enhancing productivity.
  • Communication and Relationship Management: Communicate effectively with property owners, addressing questions and concerns with a high level of customer service, ensuring a positive onboarding experience.
  • Collaboration and Coordination: Work closely with internal teams, including Sales, Operations, and Customer Support, to ensure a cohesive and efficient onboarding process from start to finish.
  • Attention to Detail: Maintain a keen attention to detail, ensuring accuracy and completeness in all property listings, configurations, and documentation.

Qualifications

  • Proven experience with CRM systems (preferably HubSpot) and knowledge of automation and workflow optimization.
  • Excellent interpersonal and communication skills, with the ability to build and maintain positive relationships with property owners.
  • Strong organizational skills and attention to detail, ensuring accuracy in onboarding processes and documentation.
  • Experience in the vacation rental industry or a similar field is preferred.
  • Demonstrated ability to negotiate cost-effective solutions for customer needs, including photography, lock systems, and other property setup essentials.
  • Experience in managing compliance processes and overseeing permitting requirements is highly preferred.
  • Ability to work independently and as part of a team, managing multiple projects and deadlines simultaneously.

Job Type

Pay

  • $55,000.00 – $60,000 per year

Experience

  • Team Management: 2 years (Required)
  • Short-Term Rental Management: 2 years (Preferred)
  • Proficiency in HubSpot or similar ticketing systems
  • Experience in optimizing workflows and automations to improve operational efficiency
  • Familiarity with online travel agencies such as Airbnb, VRBO, and others
  • Analytical mindset with the ability to identify and solve process bottlenecks
  • Cost management and negotiation skills to effectively reduce expenses associated with onboarding and customer acquisition
