Personal Assistant

Associated Representatives is now hiring an Personal Assistant . This position offers an opportunity to work with a Fortune 500 company and has career growth potential. This is a full-time, 40-hour-per-week role.

Compensation

  • Benefits are available to full-time employees after 90 days of employment.
  • A 401(k) with a company match is available for full-time employees with 1 year of service on our eligibility dates.

Job Highlights

  • The required availability for this position is Monday – Saturday, 40 hours per week .

Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate travel arrangements.
  • Handle administrative matters such as preparing correspondence, organizing meetings, and tracking action items.
  • Respond to phone, email, and in-person inquiries, handling sensitive information with confidentiality.
  • Assist in managing vendor relationships, processing invoices, and submitting expense reports.
  • Draft and distribute internal communications, including newsletters and program reports.
  • Serve as a backup for other executive administrators as needed.

Requirements

  • High School Diploma or GED required; college degree preferred.
  • Minimum 3+ years of experience as an Administrative Assistant, with at least 1 year as an Executive Assistant.
  • Proficiency with Microsoft Teams, Outlook, and MS Office applications.
  • Experience using Concur and SAP for expense reporting is a plus.
  • Strong organizational, communication, and time-management skills.
  • Must be detail-oriented and able to handle multiple tasks efficiently.
  • Attendance is mandatory for the first 90 days.

Preferred Qualifications

  • Experience managing vendors and processing invoices.
  • Ability to work independently in a fast-paced, corporate environment.
  • High level of professionalism and discretion.
