Reporting Structure
The Administrative Assistant reports directly to the Division Manager.
Essential Duties & Responsibilities
- Types communications, reports and other written memoranda for the division;
- Answers telephone inquiries and directs them to the respective division or personnel;
- Checks all incoming and outgoing mail to include separating and distribution to the appropriate person/section;
- Prepares, files and maintains documents in a uniform manner;
- Schedules and maintains upcoming events and/or appointments as requested;
- Audits and purges all records and invoices in accordance with the records retention regulations as outlined by the Library of Virginia and the Minimum Standards for Local Jails and Lock ups;
- Implements travel plans, vouchers and verifies travel plans for accuracy to ensure proper reimbursement as requested;
- Photocopies documentation as requested by the manager or designee;
- Types and photocopies a variety of correspondence and documents of a confidential and sensitive nature;
- Maintains proper level of office supplies, equipment and notifies vendors/contractors when repairs are needed;
- Assists other appointees or the general public when needed;
- Gets along well with others;
- Has regular and predictable attendance;
- Exercises rational judgement;
- Maintains the confidence and trust of peers, superiors and general citizenry;
- Maintains a physical and mental state of fitness and readiness;
- Communicates promptly to a supervisor information regarding tips on crimes or criminal activity or other relevant law-enforcement information which may come into their possession, and
- Carries out any or all other duties as directed by the Sheriff/Division Manager or his or her designee.
- Must be fully vaccinated for COVID-19
Work Environment
Works within an office environment. Interacts with commanders, managers, supervisors, and RCSO staff.
Job Requirements
- Education & Training
The Administrative Assistant requires a high school diploma and some college or experience in business administration. Must be proficient in the correct usage of the English language and possess excellent public relation skills, general computer skills and knowledge of basic math.
- Technical Requirements
Will be proficient in the use of Microsoft Office Suite.
Knowledge of Intranet and Internet Use.
