The Opportunity

We currently have an opportunity for Human Resources & General Affairs Specialist to join our People and Culture team on a full-time basis.

Reporting to the Chief People Office as well as Country Manager, the primary purpose of this position is to provide HR partnership to the business by primarily focusing on increasing the level, scope and effectiveness of HR support and services to Japan business and ensure compliance with company’s requirements/policies and Japan’s local employment regulations

Key Accountabilities & Performance Indicators

Human Resources Responsibilities include

Recruitment, Selection, Onboarding and Offboarding

  • Responsible and perform all related tasks for the full cycle of the employee life cycle including sourcing, screening, selecting, hiring, onboarding and off-boarding

Training and Development

  • Support employee development programs by partnering People and Culture team members to develop a structured training and development plan for Japan team, in consultation with Country Manager.

Employee Relations and Engagement

  • Work with line managers and employees on employee employment and relation matters including but not limited to resolving conflicts, providing coaching and advice to line managers on employee engagement and performance matters.
  • Implement HR policies and procedures to keep Japan business up-to-date with legislative requirements and manage risk for the business.
  • Maintain and improve the employee engagement in Japan through various local and regional initiatives and in partnership with Country Manager.

Recognition and Rewards

  • Support the Country Manager and line managers in Company’s recognition and reward programmes
  • Execute and support the company’s recognition programmes in Japan.

Performance And Compensation

  • Responsible for payroll administration, working closely with appointed payroll vendor in ensuring that monthly payroll cycle is paid on time and all related reports are furnished in a timely manner.
  • Support annual salary review process and out of cycle adjustments, including
  • Submission of data to regional, compilation of data for budget, proposed merit, market adjustments, and promotion increases.
  • Managing compensation and benefits for new hires
  • Support performance management and compensation cycle activities, including line managers communication etc.
  • Effectively deploy performance management and reward processes and practices to drive desired performance results.

General Affairs Responsibilities Include

  • Facility: workplace management such as office equipment, furniture, cleaning etc
  • Business Continuity Plan & Disaster Planning (basics)
  • Workplace Safety & Security
  • Office Administration: office supplies, travel support, guest support.
  • Events: companywide events, local events, off-site coordination and support
  • Legal: on-site support and point of contact as needed.
  • IT: Local support liaison with global IT team and local vendors
  • Other- ad-hoc companywide initiatives

Global/Regional Initiatives/Projects

  • Work in collaboration with People & Culture team on organisation wide initiatives and projects
  • Actively engage with Chief People Officer and People & Culture team to develop strong working relationship and leverage initiatives for implementation in Japan.
  • Support any ad-hoc tasks and projects assigned from time to time.

About You

To be successful in this role, you will possess the following qualifications and attributes

  • A tertiary qualification (BSc or equivalent) in Human Resources or related disciplines
  • Min. 3-5 years in HR function in related industries
  • High ambiguity tolerance and openness to change.

  • Able to handle multiple tasks in a fast-paced environment
