What You’ll Do:

We are seeking a highly organized, proactive, and detail-oriented Personal Assistant to support our CEO. You will be responsible for providing administrative and personal support, ensuring the CEO’s day runs smoothly by managing their schedule, handling communications, and assisting with a variety of tasks. The ideal candidate is resourceful, adaptable, and able to manage multiple tasks while maintaining confidentiality and professionalism.

Your Responsibilities:

  • Manage day-to-day to-do lists and prioritizing tasks effectively.
  • Schedule appointments and meetings, ensuring no conflicts. Send reminders for upcoming events, deadlines, or meetings. Coordinate travel schedules (flights, transportation, accommodations).
  • Prioritize and respond to emails, phone calls, and other communications on behalf of the CEO.
  • Prepare and organize meeting materials, agendas, and presentations.
  • Draft, edit, and send correspondence, reports, and documents.
  • Run errands and manage personal tasks for the CEO.
  • Assist with special projects and tasks as assigned by the CEO.
  • Handle office administration duties, such as organizing files, ordering supplies, and managing office spaces.
  • Foster positive relationships with employees, clients, and external stakeholders.tion.

Qualifications:

  • Previous experience as a Personal Assistant preferred, Bachelor’s degree in related field- preferably business or a related discipline is a plus.
  • Previous administrative or customer service experience is a plus but not required.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficient with Microsoft Word, Excel, and Google Suite.
  • Ability to ask questions when needed and quickly pivot when a correction is needed.
  • Must possess superior listening, verbal, and written communication skills. The ability to communicate clearly and professionally with fellow team members is paramount.
  • A proactive, “can-do” attitude with a willingness to take on new challenges.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently and as part of a team.
  • Ability to use discretion when dealing with confidential information; A signed NDA is required.
  • Ability to work well under pressure.
  • Willingness to adhere to flexible hours.
