Who You’ll Work With

You’ll work in Calgary or Toronto as part of our Canadian office. You’ll be part of our Canadian EA team, comprising of 4 offices across Canada, Calgary, Montreal, Toronto and Vancouver, with more then 980 consulting and non-consulting colleagues. You will support firm Leadership in our Calgary or Toronto Office and report to the Manager of Executive Assistants for Canada.

Your Impact

You will work with your assigned consultants and managers as an Executive Assistant to organize and leverage their time effectively, manage their complex schedules and coordinate their travel logistics.

In this role, you will assume responsibility for planning, organizing and executing major projects (e.g. calls and meetings entailing coordination of schedules of senior leadership participants). You will also be responsible for planning client and internal meetings, conference calls, zoom meetings, conferences/events and lunches/dinners.

You will collaborate with clients, client administrative contacts and with department members in creating smooth workflow including soliciting assistance from others as needed and helping others, as appropriate, and maintaining follow-through. You will have flexibility to ensure appropriate, timely actions and that deadlines are met. You will also act as liaison for assigned individuals to ensure that various departments provide requested support in an efficient, timely manner.

Key aspects of your role include the following

  • Organizing and maintaining complex calendar(s) for assigned leadership
  • Managing all communications including responding to correspondence that does not require personal attention of client service professionals
  • Handling all telephone calls in a professional and efficient manner; developing strong ongoing rapport with assistants supporting client executives
  • Producing accurate, properly formatted documents and reports, frequently under tight time constraints
  • Providing range of administrative support (e.g., travel scheduling, file organization, expense report submission, accounting administration) to effectively provide leverage to client service professionals
  • When needed, supporting the planning and execution of major projects, conferences and other off-site meetings
  • Working collaboratively with other executive assistants to ensure backup coverage
  • Hybrid work schedule (some in-office work required)

Your Qualifications and Skills

  • Bilingual (English + French) preferred
  • Excellent administrative and organizational skills
  • Detail oriented and ability to prioritize and multi-task
  • Track record of demonstrated ownership through responsibility and accountability for end products
  • Highly professional telephone presence and strong customer service mindset and style
  • Strong email and calendaring skills (Outlook proficiency preferred); proficiency in PowerPoint, Word and Excel
  • Ability to anticipate and meet the needs of colleagues supported
  • Ability to work expertly and effectively in a dynamic, deadline-driven environment
  • Inventive in problem solving and high tolerance for ambiguity
  • Excellent professional standards, discernment and discretion when taking care of sensitive information
  • Ability to establish relationships with both local colleagues and those working in other offices
  • Excellent communication skills, both verbal and written (bilingual)
