The Proposal Coordinator supports the proposal team by handling administrative tasks, maintaining documentation, and assisting in the preparation and formatting of Federal Environmental proposal materials such as resumes, project disruptions, and conducting research. This role provides an opportunity to develop foundational skills in proposal development while working under the guidance of senior team members.

What you’ll do

  • Organize and maintain a repository of proposal templates, past proposals, and supporting materials.
  • Ensure version control for proposal documents.
  • Assist in organizing and maintaining proposal schedules, timelines, and deadlines.
  • Help track required proposals.
  • Format, proofread, and edit proposal documents to ensure accuracy and consistency.
  • Populate and update templates with standard information, such as company profiles, resumes, and past performance data.
  • Conduct basic research on client needs, industry trends, and competitor activities to support proposal development.
  • Gather and organize supporting data, such as competitive analysis
  • Assist in coordinating with internal teams, including subject matter experts, to collect information for proposals.
  • Participate in team meetings to support project updates and next steps.
  • Perform initial reviews of documents for formatting, spelling, and grammatical errors.
  • Ensure adherence to branding guidelines and proposal requirements.

Minimum Qualifications

  • 1+ years experience in the preparation and formatting of federal proposals.
  • 5+ years experience in Microsoft Office Suite (Word, PowerPoint, Excel) and familiarity with document management systems.
  • Experience in business, communications, marketing, or a related field
  • This is a remote-position, but the position requires the person to be logged-in, available and working throughout the day.
