Job Description
- The Project Document Controller is a high profile position at the heart of projects with responsibility for Document Control processes and systems from project kick-off to handover. He/she will be responsible for Project Document Management and for developing project DC (Document Control) / EDM (Electronic Document Management) processes and procedures whilst interfacing with the full project team and all contractors and suppliers.
Position is based in Oman for a long-term assignment.
Responsibilities
The Senior Document Controller will be responsible:
- Ensure early engagement with the Project Team Leader for all assigned projects.
- Responsibility for the management of all aspects of project document control.
- Follow/ensure Quality Management System Requirements are met in line with ISO 9001-2015 and API Q2 2nd edition requirements
- The Document Controller will prepare and issue procedures on the numbering and control of both internal and external design and vendor documents as per contractual conditions and in line with existing PDO Standards and Procedures. In addition, the Document Controller will also prepare and issue a similar procedure on the management and numbering of project correspondence and will be responsible for checking that the project correspondence procedure adhered to by project team members.
- The Document Controller will ensure that all received electronic media (where appropriate) are added to the correct folders maintained within the project EDMS, and that the required file attributes are applied to both the EDMS (Electronic Document Management System – eg. Live Link) and the DCS (Document Control System – e.g. SPO).
- The Document Controller expected to establish a project filing index for any hard copy engineering documents stored by the project, and establish a similar index for the filing of project correspondence.
- The Document Controller will be required to establish and maintain a project archiving strategy for hard copy project document and to manage project handover requirements for both hard copy and electronic media upon project completion.
- The Document Controller will be responsible for maintaining the DCS and EDMS.
- Implement and manage the project document control and document management processes and systems to aid in efficient capital project execution.
- Drive improvements within the Document Control scope through leadership, standards, and behaviors. Implement solutions that educate and encourage internal and external stakeholders to become more collaborative.
- Manage document control & document management assets. Implement, promote and operate solutions that support the project’s objectives, facility lifecycle value delivery, and global knowledge sharing and collaboration.

Experience
- Graduate or equivalent
- 10 years Document Management experience in the oil and gas industry – preferably with Facilities engineering.
- Good communicator with experience in leading small teams.
