The Job role
The position duties involve the administrative support of the Financial Services department Director and team.
Role and Responsibilities
- Prepares an array of business documents, i.e. memos, papers, correspondence, e-mails, and presentations mainly of confidential nature.
- Manages phone calls, messages, emails, and correspondence efficiently.
- Organizes calendars, schedules appointments, arranges meetings, and provides reminders. Prepares and distributes agendas and follows up on action items.
- Coordinates meeting logistics, including materials, room reservations, equipment setup, and refreshments. Takes minutes when required.
- Welcomes and accommodates visitors.
- Maintains accurate records in databases and spreadsheets; processes procurement requests, requisitions, and e-documents via corporate systems.
- Utilizes enterprise platforms for business activities and document management.
- Organizes and secures physical and digital files for easy access.
- Handles travel arrangements, itineraries, and accommodations.
- Supports the team with tasks such as expense reports, absences and travel arrangements.
- Monitors and maintains adequate levels of office supplies.
- Assists with department’s budget preparation and monitoring, tracking variances, and compiling reports.
- Provides auxiliary support to the department’s Managers and Heads as necessary.
Qualifications, Required Skills and Competencies:
- Diploma or Associate degree in Office, Secretarial or Business studies.
- 2 – 5 years of relevant professional experience preferably in a corporate environment.
- Excellent proficiency in MS Office applications and ability to effectively use the corporate business platforms.
- Excellent typing, spelling, and grammar skills.
- Very good command of English, both oral and written.
- Tactfulness, Courtesy, and strong service-oriented mentality.
- Exceptional interpersonal and networking skills.
- High level of confidentiality and attention to detail.
- Strong time management, prioritization, and ability to meet deadlines under pressure.
- Capable of working independently and within a team.
