About The Role
Our client, a growing US-based executive recruiting firm, is seeking a proactive and detail-oriented Executive Assistant / Chief of Staff to support their leadership team. This role starts as a part-time position (approximately 20 hours per week) but may expand into a full-time opportunity based on performance and evolving business needs. The ideal candidate will possess strong organizational skills, an interest in operations, and the ability to contribute strategic insights. We are looking for a candidate that can easily handle the EA duties, but also act as a sounding board for the CEO to think through strategic decisions.
Key Responsibilities
- Scheduling & Inbox Management
- Coordinate and maintain calendars, schedule meetings, and manage day-to-day appointments.
- Oversee email inboxes by filtering messages, responding on behalf of leadership when appropriate, and ensuring prompt follow-up on high-priority items.
- Marketing Content & Delivery
- Assist in creating, formatting, and distributing marketing content across various channels.
- Ensure consistent brand messaging and timely campaign execution.
- Lead Generation & CRM Utilization
- Help identify and reach out to potential leads using tools and platforms relevant to the executive recruiting sector.
- Keep CRM data current and reliable by logging interactions, updating contact information, and tracking progress on leads.
- Strategic Support & Operations
- Act as a thought partner for leadership, offering fresh perspectives and challenging ideas where beneficial.
- Provide operational support, helping streamline processes and identify opportunities for increased efficiency.
Qualifications
- Experience & Skills
- Prior experience as an Executive Assistant, Chief of Staff, or in a similar administrative/operations role.
- Strong proficiency in scheduling tools, email platforms, and office applications (e.g., Google Workspace or Microsoft Office).
- Familiarity with CRM systems (e.g., HubSpot, Salesforce, or similar) and basic lead generation methodologies.
- Experience in marketing or content distribution is a plus.
- Excellent verbal and written communication skills, with the ability to correspond professionally on behalf of senior leadership.
- Highly organized, attentive to detail, and capable of juggling multiple projects simultaneously.
