What we’re looking for:
We are seeking a highly skilled Email Management Specialist to streamline communication, manage inboxes efficiently, and optimize executives’ productivity. The ideal candidate is experienced in email management tools, proactive in handling correspondence, and skilled in creating systems that reduce distractions while enhancing workflow efficiency.
Responsibilities—what you’ll do:
- Use tools like Outlook, Gmail, or Spark to organize, prioritize, and respond to emails, ensuring critical communications are flagged and addressed promptly.
- Leverage automation tools to schedule emails, set reminders, and streamline follow-ups.
- Develop streamlined email workflows using tools like Front or Zapier to automate repetitive tasks, organize threads, and reduce inbox clutter. Create filters and templates for common email scenarios to improve response times.
- Coordinate meeting requests and appointments directly from email platforms, syncing seamlessly with Google Calendar, Microsoft Teams, or Calendly for accurate scheduling across time zones.
- Utilize task management tools like Asana, or Trello to convert email action items into manageable tasks, track progress, and set reminders for upcoming deadlines.
- Manage sensitive emails and attachments securely using tools for encrypted file storage and sharing. Apply email security protocols to protect confidential information.
Requirements:
- Proficiency with Google Calendar, Outlook Calendar, and scheduling tools like Calendly or Doodle.
- Familiarity with Microsoft Teams, Zoom, or Google Meet for managing virtual meetings.
- Experience with task management software such as Asana, Trello, or Monday.com to track meeting-related action items.
- Fully fluent in English
- Ability to work U.S. business hours (Pacific Time, Central Time, or Eastern Time)
