Essential Responsibilities
- Providing administrative and organizational support including but not limited to prioritize conflicting needs and handle matters expeditiously
- Proactively engage on and see projects through to successful completion within strict deadlines
- Plan, schedule, and arrange business meetings and travel itineraries
- Prepare and reconcile expense accounts
- Edit presentations, reports, spreadsheets, take meeting minutes, and support business reviews
- Prepare, evaluate, and edit incoming and outgoing communications for multiple executive
- Direct business contacts to appropriate managers
- Coordinate onsite and offsite business meeting and events
- Manage conference / huddle rooms and common office area
- Raising and receiving purchases orders
- Booking travel and managing expenses
- Diary and meeting management
- Raising and receiving purchases orders
- Managing multiple projects and priorities and initiating follow up to ensure timely achievement of commitments
- Creating presentations for internal use
- Assist with passport and visa requirements
Qualifications/Requirements
- Degree from an accredited University
- Extended experience in similar roles
- Proven executive standing and ability to establish trusted relationship with the Leadership Team
- Ability to deal with ambiguity and work autonomously
- Ability to maintain high level of integrity and confidentiality
- Strong verbal and written communication skills and ability to draft clear and concise communications
- Strong administrative experience
- Excellent interpersonal skills, leadership skills and teamwork
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
- Fluent in English and Italian
- Work Visa, in accordance with local regulation, is required.
