Position: Executive Assistant
Work hours: 9:00 am – 6:00 pm London Time
Compensation range: US$1,300-US$1,500/month

About The Role
As an EA, your primary responsibilities will include managing calendars, scheduling appointments, coordinating travel arrangements, and handling communication on behalf of the executives. Additionally, you will assist in project coordination, document preparation, and office management tasks. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving. This role offers an exciting opportunity to work closely with senior leadership and contribute to the success of our fast-paced eCommerce operation.
Responsibilities
- Executive Support: Provide high-level administrative support to the founders, including managing calendars, scheduling appointments, and coordinating travel arrangements.
- Personal Support: Do basic research, scheduling appointments, and anything that the founders need support with on their personal errands.
- Communication Management: Handle correspondence, emails, and phone calls on behalf of executives, ensuring prompt and professional responses.
- Meeting Coordination: Organize and prepare materials for meetings, take meeting minutes, and follow up on action items as needed.
- Document Preparation: Prepare and edit documents, presentations, reports, and other materials as required.
- Data Management: Maintain and organize confidential files, records, and databases, ensuring accuracy and accessibility.
- Website Management: Oversee website operations, including managing inventory, checking necessary website content, and coordinating website maintenance.
- eCommerce Operations Support: Support with any admin task related to operations as needed.
Requirements
- Bachelor’s Degree: In Business Administration, Management, or related field preferred.
- Experience: Minimum of 3 years of experience as an executive assistant, preferably in an eCommerce/hospitality industry.
- Excellent Communication: Strong verbal and written communication skills, with the ability to interact professionally with executives, team members, and external partners.
- Organizational Skills: Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Tech Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and GSuite.
- Problem-Solving Skills: Proactive problem solver with the ability to anticipate needs, identify issues, and propose solutions.
- Adaptability: Flexible and adaptable to changing priorities and able to work independently with minimal supervision.
- Discretion: Ability to handle sensitive information with discretion and maintain confidentiality at all times.
- Attention to Detail: Meticulous attention to detail and accuracy, ensuring high-quality work output.
- Team Player: Collaborative mindset with the ability to work effectively as part of a team and support colleagues as needed.
