- Assist project manager to coordinate project activities from beginning to end
- Assist project manager with developing project budget by obtaining accurate proposals from the corresponding vendors.
- Process CER’s/Requisition PO’s for all project related items in accordance with the approved budget.
- Develop project plans and schedule according to scope of work.
- Determine which teams need to be included on project.
- Effectively communicate project expectations to team members in a timely and clear fashion
- Set and continually manage project expectations with team members and end users
- Coordinate scheduling of meetings, agenda’s, and minutes for each project.
- Communicate with all teams involved on an ongoing basis
- Identify and manage project dependencies and critical path
- Plan and schedule project timelines and milestones
- Track project milestones and deliverables
- Issue status reports to the project team, analyze results, and troubleshoot problem areas
- TRANSITION PLANNING
- Develop and implement relocation plan
- Organizes transition Team (IT, Facilities, etc.)
- Establishes department level Point of Contacts
- Develop and maintain transition timeline
- Identify transition tasks, monitor progress (synchronized with construction and outfitting schedules)
- Develop a plan for managing change to the new designed space
- Assist in scheduling staff orientation to new location
- Coordinate training for any new IT equipment (i.e. phones, AV equipment, etc.
- Coordinate telephone deployment which would include communication with teams who manage phone directory.
- Coordinate with Security Team access changes for relocated employees
- Coordinate key control plan with Facilities Team
- Coordinate interior signage
- Coordinate any additional furniture, fixtures, and equipment needs
- Determine equipment and systems new/existing needs
- DECISION SUPPORT
- Work closely with the Department Leadership to provide comprehensive analyses for decision support.
- Tracks department budget to ensure accuracy of expenses by spotting anomalies in data and communicating with Finance for correction.
- Develops and compiles monthly data required to populate reports and dashboard across disciplines.
- Assist Facilities Manager with research and project analysis.
- Maintain lease logs.
- Manages match exception report research facilitating PO receiving in PeopleSoft.
- New vendor documentation research assuring timely form submissions.
- Reconcile and validate monthly financial and statistical data.
- Run routine audits to ensure data integrity in all reports and appropriate dashboards.
- Tracks Department Budget and Spending
- Provide financial information and/or analysis for decision support.
- Assist with space planning and development, tracks budgets.
- Codes department invoices
- Manage campus furniture inventory.
- Assists in any other tasks as assigned
Qualifications
The expertise and experiences you’ll need to succeed:
- Bachelor’s degree from four-year college or university
- Two to three years related experience and/or training in project coordination.
