Are you a proactive, dynamic professional with a passion for excellence and a knack for organization? Langham Hall Luxembourg is looking for an enthusiastic Executive Assistant & Facilities Manager to support our Head of Office and lead our facilities team to new heights!
About the role:
Here is a glimpse of what you will be doing:
- Manage the Head of Office’s agenda, scheduling internal and external appointments and ensuring timely follow-ups.
- Organize and facilitate meetings, including preparing agendas, taking minutes, and distributing materials, specifically for the Authorized Management Meeting of the company.
- Assist in preparing files, conference calls, and events for the Head of Office.
- Prepare and edit documents, presentations, and reports with precision and professionalism.
- Process, disseminate, and archive (where necessary) incoming and outgoing communications.
- Create presentations and reports for meetings.
- Answer telephone calls, providing solutions or redirecting to the appropriate contact.
- Provide administrative support for various projects and activities.
- Supervise the Office Managers, coordinating performance and appraisal meetings.
- Support the development of the Office Managers, fostering knowledge transfer and leveraging talents.
- Ensure team alignment with company values.
- Provide proactive back-up during absences.

Minimum requirements:
- Minimum bachelor’s degree or equivalent thinking level.
- At least 3 years of experience in in a similar role.
- Excellent command of written and spoken English; professional knowledge of French is a plus.
