About HITAP International Unit (HIU)

The Health Intervention and Technology Assessment Program (HITAP) International Unit (HIU) was established in 2013. It seeks to build capacity and strengthen partnerships based on mutual benefit to use evidence to inform health policy, collaborate and contribute to the global dialogue on Health Technology Assessment (HTA) and health service research. HIU comprises the following workstreams: projects that include technical work and engagement with country partners; management of networks and platforms for engagement with partners and relevant stakeholders; and a coordination team for internal management.

Position Summary

This position is placed in the HITAP International Unit (HIU). The Coordinator will assist the team to provide overall support to projects under HIU. The Coordinator will report to the Senior Coordinator and will be under the overall supervision of the Head of Unit.

Responsibilities

Key responsibilities

  • Liaise and collaborate with other units on administrative matters related to and on behalf of HIU for HITAP.
  • Understand HITAP’s and HIU’s policies and processes, and provide guidance for finance, proposal development, contract management, travel and related activities, Information Technology (IT) and Human Resources (HR) for HIU.
    • Finance
      • Review documents for both disbursement and reimbursement processes that relate to HIU projects or activities.
      • Ensure payment of bills and invoices due and receipt of payments from funders.
    • HR
      • Work with the HR Officer(s) to facilitate HR processes for international staff related to new employee orientation and work visa and ensure compliance with immigration laws and guidelines.
      • Support other HR processes such as recruitment for the team.
    • IT
      • Work with the IT Officer(s) to ensure smooth operation of software or hardware requirements for HIU.
    • Events
      • Plan and manage logistics for organising meetings related to HIU’s work.
      • Plan and manage logistics for organising teleconferences, meetings, trips, and other events.
      • Assist in coordination of travel logistics, including reserving air tickets, accommodation, transportation, travel itineraries, among others.
      • Coordinate events organised by HIU.
      • Coordinate with the Operations Management Team (OMT) in procuring interpretation services if necessary.
    • Team operations
      • Maintain records and ensure team activities such as monthly meetings are conducted on a regular basis.
      • Communicate and/or coordinate the day-to-day HIU operations with various individuals and/or external partners/funders.
      • Organise or facilitate team-related activities.
  • Serve as an in-house translator/interpreter proficient in performing both oral and written translation in Thai and English.
  • Support completion of other tasks and duties as required.
  • Perform other administrative tasks as necessary
    • Liaise with the Ministry of Public Health to facilitate HR processes for senior government officers for their international travel, as necessary.
    • Liaise with partners in Thailand or internationally.

General responsibilities

  • Perform other duties as requested such as representing the team in formal meetings, as assigned by Head of Unit.

Essential

Qualification and Requirements:

  • Bachelor’s degree in any field.
  • 1-2 years of experience in planning, project management, coordination, administration, or related field of work.
  • High proficiency in written and spoken Thai and English.
  • Clear and effective verbal and written communication skills.
  • Demonstrated excellence in organisational, analytical and time management skills such as prioritising tasks, organising events and tracking details.
  • Ability to work effectively, both independently and as part of a team.
  • Attention to detail and ensure all specifications are met.
  • Problem-solving abilities to correct any challenges for better results.
  • Working knowledge of basic email, internet browser, and Microsoft Office package, such as Microsoft Word, PowerPoint, and Excel.

Desirable

  • Excellent coordination and facilitation skills with a strong, independently driven delivery focus and ability to prioritise, multi-task, and manage time effectively.
  • Self-motivated and effective with limited direct supervision.
