This is a remote position.

Full-time (40 hours a week)

Mon – Fri 8 AM- 5 PM (AEST) includes 1h unpaid break.

We are seeking a proactive and skilled Personal Assistant with a focus on client relations and a background in basic accounting. Responsibilities

  • Serve as the primary point of contact for clients, managing inquiries, concerns, and requests with professionalism and efficiency
  • Develop and maintain strong, positive relationships with clients through regular communication and proactive problem-solving
  • Identify potential issues or opportunities within client accounts and take initiative to address them
  • Negotiate and mediate solutions to client problems, ensuring high levels of satisfaction and retention
  • Process payroll accurately and timely, ensuring all employees are paid correctly
  • Manage accounts receivable and payable, including creating and sending invoices, and following up on overdue payments
  • Chase payments from clients diplomatically, maintaining positive relationships while ensuring timely collection
  • Assist with basic bookkeeping tasks and financial record-keeping
  • Coordinate with the external accountant to provide necessary information for complex financial matters
  • Support general administrative duties as needed, contributing to the overall efficiency of the business

Requirements

  • Excellent interpersonal and communication skills, with a proven ability to build and maintain strong client relationships
  • Basic understanding of accounting principles and practices, with experience in payroll processing and invoice management
  • Proficiency in Microsoft Office suite and familiarity with accounting software
  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively
  • Excellent time management skills and ability to meet deadlines
  • Problem-solving mindset with the ability to negotiate and find creative solutions
  • Ability to work independently and take initiative, as well as collaborate effectively within a team
  • Attention to detail and commitment to accuracy in all tasks
  • Adaptability and willingness to learn new skills and processes
  • Bachelor’s degree in Business Administration, Communications, or related field preferred, but not required if compensated by relevant experience
  • Previous experience in a client-facing role is highly desirable
  • Basic accounting experience or relevant certifications are a plus
