As a Legal Secretary, you will provide essential secretarial and administrative support to the lawyers and their teams. This multifaceted role will involve handling documentation, coordinating meetings, managing communications, and ensuring the seamless functioning of daily operations.
Your Main Responsibilities Will Include
- Document Management: Registering and maintaining records with the Luxembourg Business Registers (LBR), uploading documentation to the e-file platform and E-desk, and ensuring all documents are organized, scanned, and filed consistently.
- Administrative Coordination: Coordinating apostille and legalization requests, managing written and electronic correspondence, and organizing travel arrangements and expense reporting.
- Communication and Scheduling: Managing lawyers’ Outlook calendars, handling incoming calls, organizing conference calls, and scheduling meetings, including room reservations and catering arrangements.
- Client Support: Preparing client materials, tracking billing and financial information, and maintaining the CRM system.
- IT and Office Management: Collaborating with the IT Help Desk to manage office maintenance and ordering office supplies.
- Additional Responsibilities: Performing other administrative duties necessary for the smooth functioning of the firm.
As a Legal Secretary, your profile is defined as follows:
- Education and Experience:
- Secondary education is required, and university studies are preferred.
- A minimum of three years of experience as a legal secretary, ideally in a Luxembourg law firm.
- Linguistic Proficiency:
- Bilingual in French and English (C1/C2 level); knowledge of German or Luxembourgish is an advantage.
- Skills and Competencies:
- Strong oral and written communication skills.
- Exceptional organizational abilities and attention to detail.
- Capacity to multi-task, meet deadlines, and prioritize work effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook.
- A collaborative mindset and willingness to learn new skills.
