Job Purpose

To support the Airside Operations Manager in resource allocation, administrative tasks, training coordination and operational planning to ensure smooth and efficient airside operations. The role involves maintaining accurate records, coordinating resources, and ensuring compliance with company policies and procedures.

Key Result Responsibilities

  • Assist the Airside Operations Manager in planning and allocating resources, including manpower and equipment, to meet operational requirements.
  • Maintain accurate and up-to-date records of staff rosters, attendance, and leave schedules.
  • Coordinate with the revelevant department for recruitment, training schedules, and onboarding of airside personnel.
  • Monitor resource utilization and provide timely updates to the management on potential shortages or surpluses.
  • Prepare and disseminate daily, weekly, and monthly operational reports to the relevant stakeholders.
  • Oversee administrative tasks such as maintaining employee files, handling correspondence, and managing office supplies.
  • Support the preparation of operational budgets and track expenses to ensure cost control.
  • Coordinate with the training department to ensure training compliance for all airside staff and maintain training records.

Key Result Responsibilities – Continued

  • Ensure timely communication between departments to address any operational or administrative concerns.
  • Liaise with airline representatives, ground handling agents, and other stakeholders for smooth coordination of airside operations.
  • Ensure compliance with company policies, safety regulations, and airport authority requirements in all administrative tasks.
  • Handle any administrative aspects of incident reporting, including maintaining logs and assisting with investigations.
  • Provide support in scheduling and organizing meetings, preparing agendas, and recording minutes.
  • Monitor and update staff certifications, licenses, and permits to ensure compliance with regulatory requirements.
  • Act as the first point of contact for administrative queries and resource-related concerns from the airside team.

Qualifications (Academic, Training, Languages)

  • Minimum bachelor’s degree
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint) and familiarity with resource management tools.
  • Effective communication skills in Arabic and English.
  • Excellent communication and interpersonal skills.
  • Physically fit and ability to work under pressure and meet tight deadlines.
  • Knowledge of airport operations and ground handling processes is an advantage.

Work Experience

  • 1 year of relevant experience in administrative support, office coordination.
  • Basic knowledge of resource planning or scheduling tools is an advantage.
