Virtual Rockstar is seeking a dedicated, organized, and highly motivated full-time Medical Virtual Assistant to join our client’s home health therapy team. In this role, you will provide administrative support and assist with daily operations, including insurance verification, billing, patient communication, and assisting with various tasks related to patient care and office management. Experience with Google Workspace, HelloNote EMR, Virtual Marketing Mastery (VMM)/ Go High Level for scheduling, and communication tools will be a plus.

Responsibilities:
- Insurance & Billing:
- Perform insurance verification and ensure coverage details are up-to-date.
- Handle billing processes, including posting payments, setting up ERA/EFT, and invoicing patients with outstanding balances.
- Process and submit insurance claims, follow up on unpaid claims, resolve billing discrepancies, and appeal denied claims.
- Ensure compliance with billing and coding regulations.
- Generate billing reports and manage payment tracking.
- Patient Interaction & Support:
- Answer phone calls, respond to emails, and provide general assistance to patients.
- Follow up with patients post-discharge and after therapy sessions.
- Respond to frequently asked questions (FAQs) and assist with patient inquiries regarding their care or insurance coverage.
- Maintain patient records and update them with insurance information.
- Send personalized communication, exercise plans, and treatment instructions to patients.
- Manage referrals from healthcare providers and assist with appointment scheduling and waitlist management.
- Administrative & Operational Support:
- Assist in setting up and updating the policy and procedure manual.
- Help with compliance training for staff and facilitate new hire onboarding (paperwork and system setup).
- Assist with maintaining accurate and organized digital patient files and managing email correspondence.
- Handle data entry and generate basic reports for management.
- Provide emergency contact details and ensure patient privacy and confidentiality.
Requirements
- Previous experience in a medical administrative or virtual assistant role, preferably in home health or therapy settings.
- Strong knowledge of insurance verification, billing, and coding practices.
- Experience with Google Workspace (Sheets, Mail, Drive) and EMR systems like HelloNote.
- Familiarity with Virtual Marketing Mastery (VMM) or Go High Level for scheduling and communication tools is a plus.
- Excellent communication and interpersonal skills, both written and verbal.
- High attention to detail and organizational skills.
- Ability to handle multiple tasks in a fast-paced environment and maintain a high level of professionalism.
- Knowledge of HIPAA and patient confidentiality practices.
