Job Summary
This position is responsible for supporting various types of business activities, such as weekly associate engagements and milestone celebrations, which require planning, organizing, and execution. The Office Assistant supports the Executive Assistant with day-to-day office responsibilities and special activities, some of which may involve attendance outside of normal business hours as needed. This position is a fast-paced, high-energy role across multiple departments of the Company. Office Assistants must have strong communication and interpersonal skills to engage with associates throughout the organization, at all different levels of responsibilities and leadership levels, in the office, manufacturing plant, and warehouse. Office Assistants must be able to multi-task, prioritize competing activities, and problem solve for unanticipated conflicts or resource limitations.
Essential Duties And Responsibilities
- Organize activities and special projects; work with cross-functional departments to successfully execute plans and report quarterly to the Executive Committee
- Provide support to the Executive Assistant on larger corporate activities and special projects (i.e., All-In Week, quarterly leadership meetings, and client visits)
- Maintain event calendars, budgets, office seating charts, team rosters, and office supply inventory; report any office needs to appropriate associates or departments
- Provide daily support by answering phone calls and emails, direct inquiries to appropriate associates or departments
- Develop and distribute corporate emails for associate engagement and milestone activities
- Receive and distribute Frog Nominations through Surprise & Delight; maintain corporate file for nomination history
- Perform other tasks to support the Executive Assistant as needed
Experience And Education
- Minimum associate’s degree in accounting
- 1 – 2 years related experience and/or training.
Position Requirements
- Advanced computer skills; ability to use MS Office Suite, including Outlook, Word, Excel, and Power Point
- Technical ability to learn and use a variety of software programs, proficient calendar management skills
- Knowledge of project management processes to successfully organize and execute plans
- Communicates well with others; speaks and writes clearly; asks for and offers help when needed
- Interpersonal; resolves questions and concerns in a professional manner; maintains confidentiality
