ACCOUNTING CLERK Reports to: Director of financial operations Required Education/Experience: High school or equivalent with accounting background with minimum 2 years of experience in related position. Necessary Skills: Microsoft Office, Excel, spreadsheets, 10-key, customer service, detail oriented, good communication and interpersonal skills Essential functions and Expectations: Greet and assist customers at the Accounting Window. Receive payments, Download/print credit card payment batch records for daily data processing. (Paypal, Cybersource, Auth.net or current system program) Print Daily Reports from our current systems programs) for Daily Cash reconciliation. Balance Daily Cash spreadsheet register daily to posted/actual collected: a) Work with the Advertising & Circulation Accountants to resolve any discrepancies between posted and collected amounts. b) Verify and log Classified Dept cash/checks daily and add to Daily Cash process. c) Prepare daily bank deposits: Deposit all checks via Remote Deposit Scanner. d) Create physical Deposit slip for all cash money to go to bank after Daily Cash is reconciled. e) Update co-worker daily if a bank deposit is to be taken to bank. f) Maintain and balance cash register and report to supervisor weekly. g) Enter Accts Payable invoices for The New Mexican and Taos News weekly, run checks for both on Tues (Taos) and Wed. (TNM) h) Parking and Office Rentals: Post payments in Daily Cash, bill parking clients monthly, track parking spaces available and maintain the waiting list for openings, prepare contracts for new spaces as they are available, Issue daily temporary parking permits (limited #), collect on past due accounts. i) Communicate effectively and demonstrate good customer service skills, treating customer service as a priority toward encouraging readers and creating seamless departmental interaction. j) Maintain confidentiality. All information obtained about vendors, employees, advertisers and the financial wellbeing of the company is kept in complete confidence and is not shared with anyone, including other employees, in any capacity unless it is required to perform New Mexican business. k) Train for limited back-up support for the Senior Accounting Manager. l) Perform other tasks as assigned by manager.
