Job Description

We are looking for a personable and professional Front Desk Representative to be the first point of contact for clients, visitors, and employees. This role is integral to creating a welcoming environment and ensuring smooth daily operations. The ideal candidate will have strong communication skills, a friendly demeanor, and the ability to handle administrative tasks with accuracy and efficiency.

Key Responsibilities

  • Greet and Assist Visitors: Welcome guests with a friendly attitude, direct them to appropriate personnel, and ensure they have a positive experience.
  • Answer and Route Calls: Handle a multi-line phone system, route calls to the appropriate departments, and manage inquiries professionally.
  • Manage Front Desk Operations: Maintain a clean and organized reception area, ensuring it reflects the professionalism of the company.
  • Handle Mail and Packages: Receive, sort, and distribute incoming mail and packages, and coordinate outgoing shipments.
  • Assist with Scheduling: Support meeting room reservations, visitor logs, and scheduling tasks.
  • Administrative Support: Perform clerical duties such as filing, data entry, and record-keeping.
  • Customer Support: Provide basic information about the company’s services and direct more complex inquiries to appropriate team members.

Qualifications

  • Education: High school diploma or equivalent required; additional education in administration or customer service is a plus.
  • Experience: At least 1 year of experience in a front desk or customer service role preferred.
  • Skills:
    • Strong communication and interpersonal skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
    • Ability to multitask and prioritize tasks effectively.
    • Friendly and approachable demeanor with excellent customer service skills.
